Calculate recurring cost
Quick answer: recurring meeting cost formula
Annual recurring meeting cost = attendees × meeting hours × hourly cost × overhead multiplier × meetings per week × active weeks per year.
Average monthly cost = annual recurring meeting cost ÷ 12.
Worked example: default weekly leadership sync
8 attendees × 1 hour × $85/hour × 1.25 × 1 weekly meeting × 48 weeks = $40,800 per year and 384 person-hours. Average monthly cost ≈ $3,400.
Worked example table: same invite, different cadences
Hold attendees, length, rate, load, and 48 active weeks constant—only change meetings per week.
| Cadence | Meetings / week | Annual cost | Avg monthly |
|---|---|---|---|
| Weekly | 1 | $40,800 | $3,400 |
| Biweekly | 0.5 | $20,400 | $1,700 |
| Monthly (~) | 0.25 | $10,200 | $850 |
Biweekly and monthly rows are planning approximations (0.5 and 0.25 meetings per week). Adjust active weeks if your team shuts down more or less than four weeks per year.
Common mistakes
- Using 52 weeks when the team actually has holidays or shutdown weeks.
- Confusing average monthly cost with an exact calendar-month invoice.
- Counting only the organizer’s time while eight people are invited.
- Skipping prep/follow-up when those blocks are part of the real cost.

FAQ
Why use average monthly cost?
Recurring meetings happen on a weekly cadence, but budgets are often reviewed monthly. Annual cost divided by 12 gives a useful average-month estimate even when some months have four weeks and others five.
How do you annualize a weekly meeting?
Per-meeting cost = attendees × (minutes ÷ 60) × hourly cost × overhead multiplier. Annual cost = per-meeting cost × meetings per week × active weeks per year. Average monthly cost = annual cost ÷ 12.
Should executives use a higher hourly rate?
Use a blended role average that reflects who is actually invited. Raise the blend when leaders dominate the invite, but avoid confidential individual pay figures in the browser form.
Does this include prep and follow-up time?
By default it uses meeting length only. If you want a fully loaded calendar cost, add prep and follow-up minutes into the duration field or run a second estimate for that extra block.
How is this different from the homepage calculator?
The homepage estimates one occurrence. This page multiplies that occurrence by cadence and active weeks so a standing invite shows up as a month and year budget line.
